Freedman Center/Microfilm Scanning

A short version with no photos is also available.

  1. Computer will be logged in by a library employee.
  2. Turn on the Canon Microfilm Scanner 800.
  3. Load the microfilm into the MS 800.
    • Pull the Roll/Fiche Carrier 200 (labeled as such) as far forward as it will come.
    • Place the roll of microfilm on the metal spindle with the film coming off the top of the roll.
    • Turn the film catch knob clockwise to the locked position.
    • Select the size of microfilm being loaded onto the scanner using the selection wheel all the way to the right on the Roll/Fiche Carrier 200.
    • Slide the film underneath the roller to the right of the spindle. Allow film to load into the second spindle on the righthand side of the carriage.
    • Push and hold the sky blue lever to the left to continue loading the film.
    • Position glass plates underneath lens. The film images should appear on the screen.
  4. The wheel at the lower right of the scanner is used to advance and rewind the microfilm; turning the wheel to the right will advance the microfilm while turning it to the left will rewind it.
    The wheel is an analog device, so turning it further to the right will advance it faster than just a small turn to the right (this works the same way with the rewind function.
  5. Align the microfilm under the lens.
    • Center the specific page to be captured between the 11x17/LTR and center black arrow indicators on the screen of the MS 800.
    • The Zoom/Focus/Rotate wheel located in the lower right corner of the viewer can be used to create a cleaner image.
      The Zoom/Focus/Rotate function can be selected by pressing the appropriate button (the button will light up green) and then turning the wheel accordingly; turning the wheel to the right will increase the size of the image, tighten the focus on the image, or spin the image in a clockwise fashion (turning it to the left will decrease the size of the image, loosen the focus on the image, or spin the image in a counterclockwise fashion. The Zoom/Focus/Rotate function can be selected by pressing the appropriate button (the button will light up green) and then turning the wheel accordingly; turning the wheel to the right will increase the size of the image, tighten the focus on the image, or spin the image in a clockwise fashion (turning it to the left will decrease the size of the image, loosen the focus on the image, or spin the image in a counterclockwise fashion.
    • An alternative to focusing the image manually is to use the Auto Focus button.
  6. Once the image on the viewer is satisfactory, open Adobe Acrobat 7.0 Professional from the desktop or the Start menu.
  7. Create a new PDF using the MS 800 in Adobe Acrobat by selecting the "Create PDF" button and selecting "From Scanner" in the drop-down menu (or by selecting: File -> Create PDF -> From Scanner).
  8. Click Scan to bring up the "Configure Device Settings" dialog box.
  9. If the "No Devices Found" message appears, click "Rescan".
  10. Click "OK" when the Canon MS 800 device has been detected. This will bring up the scanning dialog box.
    Leave the default page size as "Letter - 8.5 x 11 in."
  11. To ensure accurate image scanning, select "Letter - 8.5 x 11 in" as the page size in this window. If this does not capture the desired area of the document, scan again and reset the page size to "11X17" or "Scanner Maximum."
  12. Click Preview Scan to view a preview of the image.
  13. Several scanning options, including brightness, contrast, and resolution can be set in this window. You may also need to configure the scanner to scan in "postive film" mode if your prescan shows a black background with white text.
  14. Click Scan to scan the image.
    • A warning will appear alerting you to the fact that there is no film in the scanner; however, this is a digital scan that needs no film, so click OK.
  15. Once the scan is complete, another warning will appear alerting you to position the film image on the scanner and to scan again. Advancing the film to find another image and clicking OK will append the new image to the old in the PDF as the next page of the file; new pages will be added in this manner until you click Cancel. If you want to change the previous scan options, click Cancel.
  16. Click Done to exit the "Canon MS 800 on SCSI 2" scanning dialog box when the scanning process is complete.
  17. Adobe Acrobat will bring up one final box asking you if you want to append another page to the PDF. If you still want to add another page to the file, click Next in the "Adobe Scan" dialog box to restart this process; otherwise, click Done to finish the scanning and view the PDF.
  18. Next, use the rotate tool to position the scanned document right-side up.
  19. You may wish to use the cropping tool in Adobe Acrobat to save only that portion of the scanned image you need.
  20. Highlight the desired area with the cropping tool and double click to select.
  21. The crop button in the dialog box is selected by default. Simply click "OK" to accept the crop settings that you have made.
  22. You may also wish to zoom in on the resulting image in case the print type in the document is unreadable.
  23. Once you are satisfied with the image you have created, you can click File -> Save As to save the PDF or File -> Print to print the PDF.
  24. Pick a filename and save to a USB flashdrive, or save to computer and email it to yourself
  25. Log off computer (Do not shut computer down.)
  26. Rewind the film
  27. Turn the film catch knob counterclockwise to the unlocked position
  28. Leave boxed microfilm in the return basket
  29. Turn off microfilm machine
  30. Log off computer
