- Who is going to Buhrer on Wednesdays and Fridays? Need to respond to Cierra’s emails

  • Cierra needs a response from the group leaders with a plan of action before going for a first visit
  • Not many leaders responded with plans
  • Only Mridu for Cooking responded
    • Plan had a different recipe for every week
      • This costs too much (~$200)
      • Also don't know if cooking facilities will be available for this
    • Maybe instead of having cooking all the time can go over etiquette and other things that don't need the expensive raw materials and facilities
  • We need to start this friday no matter what - if we don't have enough people then we will have to do a rotation
  • Permission slips were already handed out to the children
    • We will find out friday who turned them in
    • Need to send info sheets home to parents with day in which their particular child's group meets

  • found out that we don't need to have people go through the tutor training BEFORE visiting Buhrer as long as they complete it by the end of the program
  • in response to complaints about tutor training, Ashley will send Janice some points to make a CPSC version
  • we should be putting together a site binder which contains waivers, letters to parents, group info, group leader info, contact info, etc. - everything someone coordinating a visit would need to get the job done

This meeting focused on what type of help/volunteers we could try to get for the after school program.

-We are going to try to focus on some of the Case Clubs, and see if they would be interested in helping volunteer their time to help with the variety show.

-We are going to focus on RHA, Kung Fu Club, the singing groups on campus, and the dancing groups.

-USG Affairs This meeting we discussed the availabilities we have with the USG. Because we are a group we have our own group code, which allows us to get a certain amount of printing done through the USG. USG will also make posters.

-The General Body meeting we need to discuss

-The plan for the semester and how we will break into groups for this activity.

-List the ideas that we plan to do.

-Discuss what we plan on doing with the students.

In regards to the Variety Show:

-Need CPSC members to sign up for committees

-Need group leaders (this needs to be explained)

-Need to arrive BY 3pm. (Mondays a/o Wednesdays) Should last until around 4:30

-For the Group Leaders we need knowledgable people who know about the targeted topic or who are looking forward to learning about the topic the students are focusing on. -There will be between 6 and 8 students in a group.

-Groups: Cooking, Snow, Actors, Scriptwriters, Equipment managers/students directors, dancers, sport players, mini bill nyes.

Funding

-Spoke with David Gasser-we should reapply for more funding.

-We need to talk to RHA about this.

-Speak with the OMA about reapplying for more money.

At the General Body Meeting we need to remind students who have not gone through the tutor training to do so soon!

- Friday, January 19 Community Service Fair 12:30 - 1:45pm Thwing Center Ballroom

  • Please plan on arriving at 12:15pm to set up your table. You are welcome to bring brochures about your organization and service opportunities, a sign-up list to collect interested students' contact information, and any displays you may have.
  • The event will showcase community service opportunities and programs for students to participate in during their time at Case or after they graduate. Information tables will include representatives from student service groups, Case offices, volunteer coordinators from local

non-profit organizations, and several post-graduation service opportunities. Case students are invited to stop by the Community Service Fair to speak with the various groups and to pick up any relevant literature and information. As of now, we have 30 service-oriented groups and/or programs participating.

  • We need to prepare some stuff, brochures and possibly a display, as well as a schedule of who can work the fair. This means we need to have a meeting ASAP. Before the fair. Need:
   * Brochures/ fliers/ handouts: describing the group, have our wiki site on there
   * Signup sheet for emails
   * People to man the fair!
   * Any additional advertising to get people to come to the fair
  • We need to start planning our first GB meeting of the semester. This should be by the end of the month, ideally. We can discuss dates at the Exec Board meeting. Big kickoff meeting
  • We need to work on the proposal for OMA. Elyse Morisette said she’d help.
  • Paige- you should take notes and write a synopsis of the Exec board meetings. I will give you an outline. You should then post the expanded outline and/or synopsis on our Wiki site, or expand the agenda that I’ve posted there. Talk to me if you need help working with the site. This should be done no more than 3 days after the EB meeting, and certainly before the next EB meeting.
  • Everybody: Before the meetings, like 2-3 days hopefully, I will post our Exec Board Agenda on the Wiki. This will save me from sending multiple emails. I can either email you once I’ve posted, or you can put the CPSC on your watch list, which sends you an email if the page is edited.
  • Everybody: I need your schedules and possible dates/times to have Exec Board meetings on. Also, if you have preferred locations, let me know. This needs to be soon, especially if we plan to meet in Thwing, for example. Since you already have your schedules, I expect them emailed to me by the end of the week. I want them in this format: M avail: 9am-3pm, 6pm-9pm; T etc. If there are any changes to your schedule, let me know as soon as possible.
  • Need to contact David Gasser about how to use the money we’ve been awarded. how to deduct money from our account. Plus, there is a meeting about accounting stuff we're supposed to attend sometime. Addy?

- Meeting Overview: This meeting we edited the constitution, created our vison/mission and objectives, discussed the first general body meeting, and decided to wait to plan the academic programs-until we made trips to our targeted schools. Executive positions were also given to the three of us until elections take place. Cierra & Paige are going to the Buhrer School on Monday, which will help in creating academic, fun and social programs for the students. There will be a Thursday Meeting at 9:30 October 6th to prepare for the first meeting and to discuss the programs.

- Overlooking the Constitution

  • The Constitution frame is thorough and describes the CPS group appropriately.
  • In Article IV (Quorum) the rules of the majority and voting was brought up, it was decided that by the 2/3 majority of the members present, would there be any ratifying or vetoing plans.

- Posting Policies for Notifying the Campus & Chalking.

  • POSTING BEGINS THIS WEEK!
  • Over viewing the posting policies was very important as to determining where the posters will be put up around campus.
  • Each of us will print out around 22 copies of the signs.
  • Paige is in charge of posting around south side, giving 20 to fribley, and the two info boards.
  • Chalking needs to be done and spreading the word.

- Vision, mission & Objectives

  • We will use the preamble from the constitution to construct our vision/mission statement: We hope to encourage and provide after school programs for middle school students in Cleveland inner city schools and a positive adult influence in students’ lives that will encourage them to remain in school and avoid negative influences.
  • The CPS Objectives: Work for CCEL to establish relationships with inner city schools. Creating fun, stimulating and academic programs for middle school students. Giving undergraduate students a chance to help and encourage students who need positive influences. Providing Mentoring Training through the CCEL. Challenging students to work up to their potential.

- The First General Body Meeting

  • October 11th 7pm Wade Fireside 1hr.
  • While the meeting is taking place, the sign up sheet will be circulating and candy will be eaten!
  • There will be an Introduction from the Prez. Solomon. Talking about why she wanted to start this group, why she felt the need, and also giving some alarming Cleveland Public School statistics.
  • Cierra & Paige will also give a Brief introduction and explanation of why they wanted to be apart of such a group.
  • The Mission and Objectives will then be explained.
  • Discuss the CCEL training that will need to take place in order to be involved in this group.
    • Training takes place every 3 weeks in the CCEL office. 5-7pm. Plan on attending the October 26th session.
    • Discuss the first field trip (This will only be possible if we are able to talk to Janice about our first opportunity)
  • For the last part of the meeting, we will see what types of ideas the general body has about the ‘survey’ that will be administered to the middle school students. Get those interested talking!
  • There should be info slips on the CCEL training sessions, times locations etc. to give to those interested in being apart of the group.

- Overview: We discussed the first CPS meeting which will be held next month. Cierra discussed the Leadership Conference and key points that were spoken there. We overviewed the USG bylaws, and discussed what needed to be done before the next meeting. We started forming the Constitution, we described the positions and responsibilities within the group, and began to work on our mission statement, vision and objectives which will be discussed in greater detail at the next meeting.

- Other Organizations that we may be somewhat affiliated with.

  • Teach For America, we could be a pre-program for those students that are interested in this group, but are unable to be apart of it.
  • Where we may get funding, co-sponsors. I.e. The Hall Council
  • Advisor: Jonathan Sadowsky possibly.
  • The group needs to meet with Janice Eatman.

- Some Systematic rules for the group-from the Leadership Conference.

  • We should think about how we are going to organize the delegation of positions. If someone is not picking up their part of the weight, do you cut them some slack or kick them out?
  • What if the leader delegates duties for a specific person, the leader should not be not upset if the person(s) does it in a different way then anticipated.
  • Event Planning: Advertising, Names, Organizations etc. What you need and assigning.

- The First CPS Meeting

  • Held this semester, Week of October 9th.

- The Creation of the Constitution

  • Elections for positions will be held at the first meeting. There HAS be a president, vice president, treasurer. We would need a secretary, and social coordinator.
  • The USG Funding Bylaws was referred to and reviewed. We decided that this would be a Social Service Group
  • The Executive Board should meet at least once a week.
  • General Body meeting, should be held twice a month. Should be close to/ or on the same day as the group trip, so we can talk about how the trip went.
  • The Executive Board: Ratifies/vetoes by majority. There will be 5 people on the exec. Board.
  • President: Direct Connection to the targeted schools and other campus organizations. Nothing can be set as concrete, as far as an event, rule etc. until the President ‘okays’ it. The President has direct connection between the other groups and organizations. Is in charge of locations and events. Everyone reports to the President.
  • Secretary: Keeps/holds all records. Has a list of all affiliates, everything is documented and stored by the Secretary. Keeps the group connections.
  • Vice President: Assume all duties in absence of the President. When president is unavailable the VP is in charge. The VP should go with the executive board member when there is a meeting or event that the president is unable to attend. The VP okays or vetoes the proposed plans, and sends to the president. (If the VP vetoes for personal reasons, the event planner can go to the president and present the case.) *Once the plan has been presented to the VP the event planner has up until the next meeting to go through the approval process.
  • Social Coordinator: the primary responsibility of this position would be to come up with ideas, events, ice breakers etc. for the middle school students. There will not be a heavy aspect on advertising (b/c that will be a group effort.)
  • Treasurer: Will be responsible for being the direct connection with USG Funding, Registration of the Group, Budgeting Activities, Fundraising or looking for donations from groups and organizations.
  • Statement of Purpose: Vision, Mission, & Objectives of the Group. (Will Talk About More In 4th Meeting.)
  • Vision: What we want to work towards.
  • Objectives: How are we going to get/work towards our goals.
  • Mission: What we are doing as a group.

Those students that fit the criteria will be offered a chance to participate in the pilot program.
